Privacy policy for the CattlePlan app

This policy covers the CattlePlan mobile app for iPhone and Android.
It does not cover the CattlePlan website — that has its own privacy policy, which deals with website visits, cookies and enquiry forms. This policy deals only with what happens inside the app.
The app is provided by Minitube Australia Pty Ltd, ABN 44 107 801 669, of 135 Brooke Street, Smythesdale VIC 3351. In this policy, "we" and "us" means that company.

Who uses the app, and how you get an account
CattlePlan is used by two kinds of people:
- Veterinary practices — vets and practice staff, who plan and run cattle breeding programs for their clients.
- Farmers — clients of those practices, who can see and take part in the programs being run on their own cattle.
There is no public sign-up. You cannot create an account yourself. Veterinary practice accounts are created by us on request. Farmer accounts are created by us only after that farmer's own veterinary practice asks us to, on their behalf. If you have an account, it is because someone asked us to make you one.
What the app collects
The app stores text and numbers only. It does not take or store photographs.
If you are a vet or practice staff member:
- Your email address, which is your login, and your name.
- Your practice's name, address, contact details and logo.
- Your practice's own breeding programs, product pricing and orders.
If you are a farmer:
- Your name, business name, email address, phone number and address, as entered by your veterinary practice.
- The details of your properties: property name, address, state and postcode, and any notes your vet has recorded about how to find the place.
About the cattle and the work done on them, recorded by either your practice or you:
- The mob: how many head, the breed, the class of cattle, body condition.
- Each stage of the breeding program: what was done, when it was scheduled, when it was actually carried out, how many animals were treated, and any notes.
- Insemination details, including the bulls used, and pregnancy test results recorded bull by bull.
About when work was recorded. The app records the time each stage was entered. If it was entered with no phone signal, the app also records the time your phone said it was, and shows both — so a record entered on time in a paddock and sent hours later reads as on time, and says plainly that it was sent later. Both your practice and you can see this.
What the app does not collect
We want to be specific, because this is unusual enough to be worth stating plainly:
- No advertising, and no advertising networks. Nothing in the app is funded by ads.
- No analytics or usage tracking. We do not record which screens you open or how long you spend in the app.
- No tracking across other apps or websites, by us or by anybody else.
- No location tracking. The app never asks for or reads your phone's GPS. The only locations it holds are the property addresses your practice types in.
- No contacts, no photos, no microphone, no camera.
- No data is sold, ever, or shared with data brokers.
Who can see your information
A breeding program is shared between the practice and the farmer, and they see the same record. If you are a farmer, your veterinary practice can see everything recorded against your programs, and you can see everything they record. That is the point of the app.
With one exception: pricing. Farmers cannot see cost prices, margins or what a practice pays. This is not merely hidden in the app — a farmer's login is incapable of reading pricing information from our database at all.
Practices cannot see each other's information. Your practice's clients, programs, pricing and records are visible only to that practice.
We can see it. As the operator of the service, Minitube Australia has administrative access to the database. We use it to run the service, create accounts, load agreed pricing and fix problems — not to browse your records.
Benchmarking: what we receive, and what it does not contain
When a program finishes, the vet can send us a benchmarking report, so that results can be pooled across many programs and published as industry averages.
That report does not name you, and cannot. It contains:
- The veterinary practice in full — the practice has agreed to take part.
- Of the property, only the state and postcode.
- The program's results: how many head were bred, tested and in calf, and what happened at each stage.
It contains no client name, no business name, no property name, no street address and no contact details. There is no field in the report capable of holding them, and we test for this automatically every time the software is built, including in the filename.
Sending it is the vet's decision, made program by program. It is not automatic.

Documents are sent from your vet's own email
Quotes, results, orders and account requests are turned into a PDF on the phone and handed to the phone's own share sheet. The vet then sends it themselves, from their own email or messaging app.
This means those documents travel through your vet's email provider, not ours. We do not send them and we do not keep a copy of the sent message. How that provider handles the message is covered by their terms, not by this policy.
The one exception is a request to create a farmer account, which the vet sends to cattleplan@minitube.com.au. It contains the farmer's contact details and an internal reference number, so that we can create the login.
What is stored on your phone
So that vets can record work in yards with no mobile signal, the app keeps a copy of some information on the phone itself:
- The programs due in the week ahead, and the records you have opened.
- Anything you record while out of signal, held until it can be sent.
Pricing is never written to a phone. Neither are quotes or orders.
This copy is deleted when you sign out, and it is locked to the account that downloaded it — signing in as somebody else on the same phone cannot reach the previous person's copy.
The phone's calendar
If you allow it, the app adds your program dates to a CattlePlan calendar on your own phone, so you get a reminder before each yarding.
This stays on your phone. We do not read your calendar, and we do not receive anything from it. You can refuse the permission — the app works without it — and you can delete the CattlePlan calendar from your phone at any time.
Where your information is stored
Account details and records are held in a secured database operated by Supabase, on servers in Singapore. Supabase processes this information on our instructions, to provide the service.
This means your information is stored outside Australia. We tell you this because you are entitled to know where it goes. It is held under the same protections described in this policy wherever it sits, and it is not used for anything other than running CattlePlan.
The app itself is built and distributed using Expo, the Apple App Store and Google Play. Those services receive the app, not your records. Apple and Google may collect their own information about downloads, under their own privacy policies.
Information is encrypted in transit.
How long we keep it
We keep your records for as long as your practice or your account is active, and for seven years afterwards, which matches Australian business record-keeping requirements.
Breeding records are commercial and animal-health records that both a practice and a farmer may need to refer back to years later, which is why we do not delete them when a program finishes.
Your rights: seeing, correcting and deleting your information
You can ask us to:
- Give you a copy of the personal information we hold about you.
- Correct anything wrong. Much of it you can already correct yourself in the app.
- Delete your account.
Contact us at cattleplan@minitube.com.au. We will respond within 30 days.
What we can and cannot delete. We will close and delete your login. Breeding records belonging to a veterinary practice are that practice's own business records, and we cannot delete those at the request of one party to them — if you are a farmer, ask your practice about their records, and we will help.
Your veterinary practice can also switch your access off at any time without deleting anything, which is what happens if you stop being their client.
Children
CattlePlan is a tool for agricultural businesses. It is not intended for, or directed at, anyone under 18, and we do not knowingly collect information about children.
Changes to this policy
If we change how the app handles information, we will update this page and change the date at the top. If the change is significant, we will tell account holders directly.
